Research Conference/Workshop Seed Grant Program

 REQUEST FOR APPLICATIONS

The Research Conference/Workshop Seed Grant Program will provide funding for the execution of research-focused conferences/workshops taking place at Stony Brook University. 

This program will only accept proposals for one-time events, and funds should be used for conference/workshop implementation. 

Special consideration may be given to requests where applicants can clearly identify external funding opportunities and can convincingly demonstrate the importance of the proposed workshop/conference for success in those submissions. 

 

WHO IS ELIGIBLE: Full-time faculty at Stony Brook University, with Department and College/School endorsement

AWARD AMOUNT: The maximum award size is $5,000. The total budget available for this program is $40,000.

GRANT PERIOD: Up to 12 months

APPLICATION DEADLINE: July 15, 2024 and January 15, 2025


Eligibility Criteria

To apply for the Research Conference Grant Program, an individual must have a current full-time faculty appointment. All applications will need the endorsement of a Department Chair or a School/College Dean.

The letter of endorsement can be an email to OPD_OVPR@stonybrook.edu. The letter of endorsement should

  • Emphasize how the conference will contribute to advancing research at Stony Brook University.
  • Define how the conference will promote collaboration among Stony Brook researchers.

 

Additional eligibility information:

  • Individuals may only be part of one application.
  • There is a limit of four Co-PIs on any application.

 

Award Information

The total budget for this conference program is $40,000. The maximum award size is $5,000 for a period of 12 months. 

Funds should be used to execute a large-scale conference/workshop on the Stony Brook University campus with the intent to build new research collaborations and/or apply for external grants. Budgets may include event space rental, set up, and food for participants as well as honorariums, lodging, and transportation for external speakers. 

Personnel costs are not allowed. 

Budgets should include strong justification across all categories, as projects will only be funded at the level deemed necessary for the conference planning and execution within the 12-month project period.

Post-Award Requirements

Awarded projects will be required to submit a final progress report at the end of the award period. Instructions will be provided.

HOW TO APPLY

Proposals must be uploaded to the application portal as a single PDF file by 11:59pm on July 15, 2024 via the Qualtrics application portal. Font size must be 11 points or larger with 1 inch margins.

A complete application will comprise of the following:

  1. Overview/Abstract (1 page limit) that explains the broader research area, stakeholders at the University, the target audience for the conference, its size in terms of potential participants, and the names of potential speakers.
  2. Impact Statement (1 page limit)  that describes how the conference would impact Stony Brook University research or scholarship.
  3. Description of Preliminary Plans (1 page limit) that describes the activities and general flow of the conference as well as the expected outcome and immediate next steps for participants.
  4. Budget and budget justification (1 page limit) that includes the total cost of the conference as well as an outline of the other sources of funds that will be used to support it. The budget should include a timeline for spending the funds that is no longer than 12 months. Recipients of funded projects will be expected to be mindful of the award period and account balance throughout the life of the award. OVPR will be closely monitoring spending of the awarded projects and any teams that overspend will be expected to cover the difference with other funds. Likewise, teams that request more than the budget needed for the project in the proposed time frame should expect any remaining funds to be recaptured at the end of the award period. No extensions will be granted for this seed grant program.
  5. Biosketches for all key personnel (2 page limit per investigator)
  6. Letters of endorsement (can be submitted via email)

MyResearch is not required for this submission.

 

Review Criteria

All applications will be peer reviewed based on the following criteria:

    • Innovation and excellence
    • Strength of the planning team
    • Clarity and efficiency of the budget
    • Ability to complete the project within 12 months
    • Institutional research advancement
    • Opportunities created by the project to attract external funding (if applicable)
    • Overall Impact
